Privacy policy — KTrans Rental

This Policy explains what personal data the car rental website rent.ktrans.com.ua (KTrans Rental: Kyiv, Lviv, Khmelnytskyi, Vinnytsia, Rivne and Ternopil) collects, why we process it, who we share it with and how you can manage it. It applies only to this website: other KTrans divisions work on their own domains and have their own documents.

Who processes your data

The controller of personal data is “KTRANS-AUTO” LLC (EDRPOU code 43753582; registered address: 1 Krainia St, Kyiv, 02232, Ukraine; the Company), which operates under the laws of Ukraine. You can contact us by the phones and at the addresses of the pickup points listed on the “Contact” page of this website.

What data we collect

The website does not require registration and does not ask for documents: you show your passport, taxpayer ID and driving license to the manager when the rental is arranged, not through the website. Data reaches us in two ways.

First, you enter it yourself in a rental request or a callback form. This is:

the name we should use to address you;

a phone number to contact you;

the request details, if you chose them: car, city, pickup and return dates and times, pickup point, rate;

the message text — where the form has such a field.

The forms have no other fields. We do not ask for your home address or payment details: no payments are made on the website, and the manager confirms the price and availability.

Second, technical data that the browser sends automatically: IP address, device and browser type, the page from which you sent the request, date and time. It is needed for the website to work and to tell real requests from automated spam.

Why we process it

To respond to your request — call you back, confirm that the car is available and the price, and arrange the pickup.

To conclude and perform the rental contract if you decide to rent a car, and to meet the obligations the law places on us.

To protect the website from automated and malicious requests.

We do not send advertising to the number you leave in the form, and we do not use your data for profiling or automated decision-making about you.

Legal basis

The basis is your consent, which you give by sending the form: this is stated under the submit button. This complies with Article 11 of the Law of Ukraine “On Personal Data Protection”. You can withdraw your consent at any time — just as you can ask for your data to be deleted.

Who we share data with

We do not sell personal data and do not share it with third parties for their marketing. Your request can be accessed by:

Company employees who handle rental requests — through the internal request system;

the hosting provider whose servers host the website and the database;

the email and messaging services through which the manager receives a notification about a new request.

Data may also be disclosed to government authorities if the law directly requires it.

Cookies and analytics

The website may use Google Analytics 4 for anonymized statistics: how many people visit, which pages and from which sources. Google acts as a separate processor and has its own privacy policy. This data does not contain your name or phone number.

Your choice of the light or dark theme is stored only in your browser’s memory (localStorage) and is not sent to our servers. Clearing the website data in your browser erases it completely.

You can turn off analytics in your browser settings or with a script-blocking extension — the website will work as usual.

How long we keep it

We keep a request for as long as it is needed to handle your inquiry and to perform the rental contract, and for the periods that the law sets for documents of this kind. When there is no longer a reason to keep the data, it is deleted.

Your rights

Article 8 of the Law of Ukraine “On Personal Data Protection” gives you the right to:

know exactly which of your data we keep and get a copy of it;

ask for inaccurate data to be corrected;

withdraw your consent and ask for your data to be deleted;

object to the processing;

file a complaint with the Ukrainian Parliament Commissioner for Human Rights.

To use any of these rights, call us at the numbers on the “Contact” page. We will reply within the period set by law. To make sure the request really comes from you, we will ask you to name the phone number from which the request was sent.

Children

The website is intended for adults: you can rent a car from the age of 21. We do not knowingly collect data from people under 18. If you believe a child has left their data with us, let us know — we will delete it.

Changes to this Policy

We may update this Policy — for example, if the data we collect or the list of services we use changes. The version published on this page is the current one; the version date is shown at the top.
